STATEMENT OF PURPOSE:
The Executive Assistant provides administrative/secretarial support to the AHS Executive Team.
The successful person in this role provides administrative support in order to increase the time an executive has available for executive level responsibilities; handle a wide variety of situations and conflicts involving the clerical and administrative function of the office; and responsible for confidential and time sensitive material.
The EA prepares routine and advanced correspondence including letters, memoranda, and reports.
Relies on experience and judgment to plan and accomplish goals.
JOB DUTIES AND
Responsibilities:
Greets and directs patients, visitors, employees, physicians and other inquiring parties in a cordial, professional manner.
Determines urgency of the situation and screens, handles and/or refers questions as appropriate, using necessary tact and judgment 100% of the time.
Answers all telephone calls by the third ring, kindly and professionally, identifying oneself by name and department, and provides assistance to caller (including returning phone calls or pages as soon as possible).
Places telephone calls for administration upon request.
Makes travel arrangements for administrator, orders tickets, makes and confirms lodging and airline reservations, prepares travel advance and expense reports.
Coordinates administrator's schedule.
Arranges meetings and appointments and reminds administrator of such as appropriate.
Composes error-free correspondence and memos within expected timeframe.
Types, formats and proofreads a variety of materials including correspondence, memos, reports, charts, e-mails, statistics, minutes of meetings, etc.
Prepares and delivers materials/information needed.
Maintains and files reports and other required information, as assigned.
Completes various forms, i.

, check requests, purchase requisitions, etc.
in a timely manner.
Sorts, opens and distributes mail in a timely manner per established procedures.
Maintains established policies and procedures, quality assurance, safety, environmental and infection control standards.
Strictly maintains confidentiality regarding job-related activities of administration.
Maintains official minutes, correspondence and reports in compliance with JCAHO guidelines for Governing Board of the hospital.
Maintains effective relationships with other assistants throughout the facility and corporate office to maintain good communications in the system.
Maintains equipment and supplies, ordering and storing only those supplies to be used within an appropriate amount of time.
Performs other duties as assigned.
JOB REQUISITES:
EDUCATION AND TRAINING:
High School graduate or equivalent.
Additional college training preferred.
SKILLS AND ABILITIES:
CPR Certification not required.
Minimum typing skills of 60 wpm.
Strong knowledge of word processing.
Superior verbal and written communication skills.
Excellent interpersonal and organizational skills.
Knowledge of functions and relationships of departments within a hospital environmental preferred.

Estimated Salary: $20 to $28 per hour based on qualifications.
