Lead Medical Support Assistant

Duties include, but are not limited to:
My encompass numerous clerical responsibilities, but not limited to, typing, filing, data entry, scheduling appointments and tests. Ensures the transfer of medical records from and to the VAMC and other facilities are completed properly. Orders office supplies and necessary forms. Adjusts the flow and sequencing of the work to meet team and patient needs. Educates providers about shared patients (those who receive their care at multiple VAs or those who have care in the community) and bringing to the attention of the provider. Directly accountable and has the knowledge, skills, and ability to serve as an autonomous extension to the Supervisor of the Non-VA Care Coordination Center (NVCC). Monitors and makes work assignments, providing input on performance, and resolving daily workplace issues and maintains efficient workflow. Provides on-the-job training for new and current employees. Assists the Program Manager/Supervisor with developing contingency plans for data input and transmission. Collaborates, communicates, sets priorities, and organizes the work in order to meet deadlines, ensuring compliance with established processes, policies, and regulations. Screens new consults for non-VA care for eligibility, specialty service requested duplication, and appropriateness of sending patients to community providers. Correctly determines the Veteran's eligibility to receive medical services through Non-VA Purchased Care and Contract Hospitalization, and reviews and updates procedure manuals semi-annually ensuring all staff has updated information. Reviews the work of full performance and development6al AMSAs for accuracy, completeness, using current laws and directives. Demonstrates advanced knowledge of the technical health care process as it relates to access to care. Ensures that Veteran appointments are made with other VA facilities, contract sites, or community providers of Veteran's choice as appropriate. Maintains electronic databases to track Non-VA Care services consults. Provides data entry to manipulate and correct information in various databases or records. Performs duties as a facility and patient educator and advocate regarding the coordination of approved/authorized community and intra/inter facility medical care. Oversees adoption and utilization of new tools, technologies, and SOPs into staff and facility work plan. Performs quality control and monitoring, specifically ensuring that patient documents are linked to the correct consult and closed accurately. Work Schedule:

Experience:
Six months experience of clerical, office or other work that indicates the ability to acquire the particular knowledge and skills needed to perform the duties of the position; or Education:
One year above high school; or Experience/Education Combination:
Equivalent combination of experience and education are qualifying for entry level for which both education and experience are acceptable. (d) Grandfathering Provision:
All MSAs employed in VHA in this occupation on the effective date of this qualification standard are considered to have met all qualification requirements for the title, series and grade held, that are part of the basic requirements of the occupation. For employees who do not meet all the basic requirements required in this standard, but who met the qualifications applicable to the position at the time they were appointed to it, the following provisions apply:
(1) Such employees may be reassigned, promoted or demoted within the occupation. (2) Employees who are appointed on a temporary basis prior to the effective date of the qualification standard may not have their temporary appointment extended or be reappointed, on a temporary or permanent basis, until they fully meet the basic requirements of the standard. (3) If an employee who was converted to title 38 hybrid status under this provision leaves the occupation, the employee loses protected status and must meet the full VA qualification standard requirements in effect at the time of reentry to the occupation. EXPERIENCE REQUIREMENT- In addition to meeting the basic requirements above, you must also have related experience to qualify for this position as described below.
Experience:
Must have at least one (1) year of experience equivalent to the next lower graded level (GS-6) that equipped you with the experience in clerical or office work that indicates the ability to acquire the particular knowledge and skills needed to perform the duties of the position for example:
assuring coverage of all areas of responsibility; conducting ongoing reviews to ensure quality of work; ensuring accurate and timely scheduling of appointments; providing guidance to staff members to include changes in policies and procedures; distributing and balancing workload; creating and maintaining employee work schedules; orienting and providing on-the-job training for new and current employees; ensuring all training requirements are met; organizing the work structure of his/her assigned areas; and acting as liaison between MSA and staff in order to resolve day to day conflicts. You will be rated on the following Knowledge, Skills, Abilities and Other characteristics (KSAOs) as part of the assessment questionnaire for this position:
1. Ability to organize work, set priorities, and delegate tasks/responsibilities in order to meet deadlines. 2. Skill in communicating with individuals in order to obtain the desired effect, ensuring compliance with established policies and regulations. 3. Ability to provide staff development and training. 4. Ability to manage staffing requirements, manage priorities, and coordinate work in order to complete duties in an accurate and timely manner. This includes the ability to follow-up on pending issues and demonstrating an understanding of the impact of incomplete work. 5. Ability to review and monitor data to ensure all reports are complete and accurate. Grade Determinations:
